🔍 What are the spending categories?

Set permissions by choosing among six spending categories, corresponding to your main business cases:

  • Food & Grocery: to buy food in supermarkets or bakeries for examples.
  • Restaurants & Bars: to pay in restaurants or order food online.
  • Transportation: to book train/airplane tickets or rent a car.
  • Hotels & Lodging: to book hotel rooms or short term accommodations.
  • Gas stations: to pay for fuel and station expenses.
  • Equipment & Tools: to purchase construction equipment, office supplies or any other type of equipment.

🤓 How does it work?

  1. Go to your Cards section and create a card (physical or virtual).
  2. When setting the card’s parameters, activate the option Specific spending categories. You can select multiple categories. For example, you can authorize “Food & Groceries” and “Transportation”.
  3. Finalize the set up and validate.

Good to know: You can add or modify cards’ spending categories at anytime.

You can now receive instant SEPA transfers! Access your funds in 10 seconds, any time even on the weekend, and securely. And it's free.

As the name suggests, an instant SEPA transfer is executed much faster than a standard transfer. When a customer pays you, for example, you see the money in your account in 10 seconds, as long as the transfer takes place within the SEPA zone (which differs from the European zone), and the amount does not exceed 100,000 euros. And above all, this method of transferring funds works every day, at any time, even on public holidays!

In addition to being able to be paid in the blink of an eye, incoming instant SEPA transfers (i.e. you are the recipient) allow you to transfer funds from any other bank account to your Qonto account in a flash - especially handy if you need to quickly top up your account.

And in case you want to open a new Qonto account, you'll be able to take advantage of it even faster than before.

🤓 How does it work?

Nothing changes on your Qonto app, since here we're talking about receiving transfers. The only thing we encourage you to do is to tell your customers and partners that they can now make instant transfers to your Qonto account details.

✍️ Name your cards to ease your expense management

By adding a custom name to your physical, virtual and Flash cards in your Qonto app, you can organize your subscriptions and teams expenses with ease.

🤓 How does it work?

  1. In the Cards Section, pick the card you'd like to rename and then in the side panel, click on the 🖋️ next to Card name. By default the name displayed is One, Plus, X, Virtual or Flash.
  2. Rename your card. You can use emojis. 🎁
  3. Save, and done!

👀 What are the benefits?

  • Have marketing expenses and SaaS subscriptions? Create a virtual card per contract (LinkedIn, Google Ads, Adobe, Wix…) to track payments and adjust limits in real time.

  • Have recurring payments? Track spending with a dedicated virtual or physical card (Amazon, Leroy Merlin, SNCF…).

  • Your employees have a one-off trip or purchase? Provide them with a Flash card to ease their job at hands (client visit, conference, new printer buying). By naming Flash cards, see all the punctual expenses occurring in one glance.

💫 Your Stripe transfer confirmation receipts are automatically attached in Qonto

Do you use Stripe for your daily business? Great news, Stripe and Qonto have worked together to make your life easier!

In addition to simplifying your bookkeeping by automating the attachment of your documents and detecting VAT, Qonto now retrieves all your Stripe receipts, and automatically attaches them to the corresponding transactions in your Qonto interface.

🤓 How does this integration work?

It only takes a few seconds! Go to the Stripe page in the Connect section of your Qonto web application to connect the two services for free. Click on Connect, select your company, and let us guide you through the process. You can find all the details in our dedicated FAQ page.

This integration takes into account your receipts, but also your invoices, in case you use Stripe invoicing or a similar third party. This concerns transactions that were processed after the connection.

No more manual management of receipts from Stripe! You can now take full advantage of this integration and continue to save precious time.

Go to the Settings & Teams section of your web interface, then go to the Team Management tab.

  • Edit existing teams in Qonto or create new ones from the Teams tab
  • Add members or invite them to join your teams from the Members tab
  • Access the History or Cards sections to apply the team filter and view the activity of the team of your choice

💡 Save time by delegating the management of your team's finances to your managers!

Adding a member with the Manager role to a team allows you to delegate a set of predefined actions and permissions to this one member for the selected team.

Automate your receipt management from your Gmail inbox to Qonto

Take a few minutes to set up this automation, and save hours by automatically attaching your recurring payments with the right receipt in your Qonto account.

If you haven't had a chance to use our feature that allows you to automatically associate your email receipts with the right transactions when you manually forward them to your dedicated Qonto address, you're in for a double treat!

Easily automate the management of digital receipts sent by suppliers you pay on a regular basis (accounting, collaboration, marketing, IT…) by automatically forwarding it.

🤓 How does it work?

This little trick works in most mailboxes. Here we propose the case of Gmail: the idea is to make Gmail understand that when you receive a recurring email (that you receive every month, quarter, year…) from specific suppliers, and containing an invoice or a receipt, it will forward it to your dedicated Qonto address.

First, let's save the dedicated Qonto address as a forwarding address in Gmail, so that we can use it later as a forwarding address.

  • In the Forwarding and POP/IMAP category of your Gmail settings, click on the grey rectangle Add a forwarding address and enter your dedicated Qonto address (it's here!). Click Next, then Continue.
  • We will automatically transfer your confirmation code to you. So click Ok, then find your code in your current mailbox, by opening it in a new tab or window, so you don't have to start the process again. The code is composed of a series of 9 digits, that you just have to copy.
  • Back in your initial window, paste the code in the dedicated text field, then click on Verify.

Great, the Qonto address is now recognized by Gmail. Now it's time to create our filter!

  • In the Filters and Blocked Addresses category of your Gmail settings (just to the left of Forwarding and POP/IMAP, click on Create a filter
  • Type in the email address of the service you pay for on a recurring basis uses containing its digital invoices, like software for example. You can enter multiple addresses, separated by ';'.
  • Also check the Attachment box, since the emails we are talking about contain the receipt or invoice we are interested in attaching
  • Then click on Create filter, then on the Add forwarding address box. Here, select your dedicated Qonto address.
  • Click one last time on Create a filter, and you're done!

The only thing you have to do is to check, via the confirmation email we send you afterwards, that each associated attachment is the right one.

No more manual export or data entry, you can now directly retrieve all your Qonto transactions and receipts in just a few clicks in Zoho Books.

Our team has developed a simple and secure connexion with Zoho Books for you, to simplify bank account reconciliation in your bookkeeping tool, save you valuable time and help you eliminate manual errors.

🤓 How does it work?

From your Qonto web app, just select Zoho Books in the Connect section and follow a few easy steps. All you need is your Zoho Books credentials and a few minutes.

Your Qonto accounts will automatically appear in Zoho Books, or will be matched to existing Zoho Books accounts, with no further action required on your side.

Once your transactions are synced, just categorize them in Zoho Books in order to retrieve your attachments from Qonto.

💡 Zoho Books is currently the only product of the Zoho suite integrated with Qonto, but we are constantly working on new ways to improve your experience. Stay tuned!

📍 Get filtered transactions in a dash by using custom views

We know that your processes are unique, and we believe that we should adapt to your way of working - not the other way around.

No more repeated filter searches: you can now save your custom views and review the transactions you need in one click.

🤓 How does it work?

Go to the History section from your desktop app and click on Custom views.

You have access to three default views that you can edit or delete:

  • Past month: access all transactions settled last month to export them in seconds
  • Missing receipts: review all transactions without receipt and send reminders in one click
  • To verify: ease your bookkeeping process by showing all transactions that have not been verified yet in one click

You can also create your own custom views reflecting your frequent searches. For example, if you'd like to quickly get transactions above €100:

  • Click on Add a custom view
  • Name your view (e.g. Expenses > €100)
  • Select the criteria with the filters (e.g. Amount is greater than €100)
  • Save changes

You can use up to 10 custom views. So, enjoy!

🚀 Edit VAT and labels of your beneficiaries while sending a transfer

No more retroactive, manual work on each transfer made. In the case of a new beneficiary, or one that's not configured yet, you can populate the VAT and labels on your own on the transfer creation page. If your beneficiary already has a VAT rate and labels registered, the fields are pre-filled.

As a reminder, you can program the VAT rate and labels for each of your beneficiaries (aka suppliers). Once they are set up, you will find these pre-filled characteristics in the transfer creation window when you make the transfer.

🤓 How does it work?

If not pre-filled at the bottom of the transfer page, simply fill in the supplier info in the dedicated fields.

To auto-fill next time, add your suppliers' information by going to Bookkeeping, then click on Suppliers. This is where you can add labels and associated VAT rate per supplier.

⚡ With Flash cards, take care of your teams' one-off expenses!

For any business trip, client lunch or equipment purchase, create a dedicated, temporary Flash card. You give autonomy while keeping budgets under control.

Create a Flash card each time a team member needs to make a one-off expense. Flash cards are custom, temporary virtual cards.

😎 How does it work?

  1. Any time an employee has a purchase to make or a business trip to organize, they can explain the use case including the amount and period of use required.
  2. From the Cards section, you create a new, unique card by choosing Flash card. Set the payment limit and the final day of use. The Flash card is immediately available in the employee's Qonto account, under their Cards section.
  3. Your employee can pay online or offline (with Apple Pay or Google Pay). No need to manage it after the expense(s), the Flash card automatically expires at the date set.
